Refund Policy
Overview
This Refund Policy explains how cancellations, changes, and refunds are handled for flights, tour packages, and visa services booked through Everest Travels & Tours. As your booking agent, we act on your behalf with airlines, tour operators, and visa authorities — so refund outcomes depend on their rules as much as ours. This page sets out both: the supplier's policy, and our own service fees for handling a change or cancellation.

1. General Refund Rules
- Refund eligibility depends on the specific service booked and the fare or package conditions.
- Each airline, tour operator, or visa authority has its own cancellation and refund policy — we don't set these, but we'll explain them clearly before you book.
- Some bookings are fully refundable, partially refundable, or completely non-refundable, depending on the fare class or package selected.
- In addition to any supplier charges, Everest Travels & Tours applies its own service fees for processing a change or cancellation — set out below.
- Processing time varies based on supplier response and payment method.
- All refund requests must match the same traveller details used at the time of booking.
2. Flights
Flight refunds and changes follow the operating airline's fare rules first, plus our own service fee for handling the request.
Airline Fare Rules
- Full refund only on flexible or fully refundable fares
- Partial refund after airline cancellation penalties, where the fare allows it
- Many discounted and promotional fares are non-refundable, both before and after departure — this is common on the fares we source for competitive pricing
- Refund only applies to the unused portion of a ticket
- Airlines may charge a no-show fee (commonly several hundred dollars per ticket) if you don't fly and haven't cancelled or changed in advance
Our Service Fees (in addition to any airline or supplier charge)
- Date change / rebooking: $35 AUD per person, plus any fare or tax difference and the airline's own change fee
- Cancellation: $100 AUD per person
- Supplier reissue fee: $35 AUD per person
- Supplier refund processing fee: $50 AUD per person (airlines may also charge their own refund processing fee, typically $60–$110)
These service fees cover the work of managing the change with the airline on your behalf and apply even when the airline itself is the one cancelling or changing the flight — they reflect our own administration cost, separate from whatever the airline charges or refunds you.
72-Hour Rule
Date changes, refund requests, and cancellations must be requested at least 72 hours before your scheduled departure to avoid a no-show fee. Failing to take a flight on your itinerary without notifying us or the airline may result in cancellation of your remaining flights and forfeiture of the ticket's value.
Exact fees, fare rules, and payment due dates for your specific booking are always confirmed on your invoice — please check these carefully, as they can vary by airline and fare type.
3. Tour and Trek Packages
Tour inclusions — accommodation, transport, guides, and permits — are outlined in your confirmed itinerary.
- Changes made after confirmation may incur fees or affect pricing
- Minimum group numbers may apply to certain tours and treks
- If we cancel a tour due to low participation, you'll receive a full refund or an equivalent alternative
- Cancellations by you follow the specific cancellation window set out in your tour itinerary, and fees increase the closer you cancel to departure
- No-shows or unused portions of a tour are non-refundable
4. Visa Services
- Visa application, embassy, and government fees are generally non-refundable once lodged, regardless of the outcome
- Final visa approval always rests with the relevant embassy or consulate — a visa refusal is not a service failure on our part and doesn't entitle you to a refund of embassy fees
- Our own service fee for preparing and lodging your application may also be non-refundable once work has started — this will be confirmed with you before you proceed
5. Refund Processing Time
Refund processing involves multiple parties, so timelines vary:
- Flights: typically seven to thirty business days, depending on the airline
- Tours and treks: typically five to fifteen business days, depending on the operator
- Packages: dependent on each supplier's own timeline
- Payment gateways or your bank may add further time on top of this
You'll be notified by email once your refund has been processed.
6. No Refund Situations
Refunds are not provided in the following cases:
- No-show or failure to use the service without prior notice
- Incorrect traveller details provided at the time of booking (passport names must match exactly — names can't be changed once tickets are issued)
- Visa rejection or missing travel documents
- Missed flights or tours due to personal delays
- Force majeure situations where the airline or supplier states a non-refundable rule
- Non-refundable fares and packages, as disclosed at the time of booking
7. Refund Request Procedure
To request a refund or cancellation:
- Contact our support team with your booking reference
- Provide the service details and reason for cancellation
- We'll confirm the airline's, tour operator's, or visa authority's rules, plus any applicable Everest Travels & Tours service fee
- You'll be informed of the refund amount and expected timeline before we proceed
- Approved refunds are processed back to your original payment method
Submit all change or cancellation requests as early as possible — and at least 72 hours before departure for flights — to avoid additional no-show charges.
8. Policy Updates
This policy may be updated based on supplier changes, airline fare rule updates, or legal requirements. Any revisions will be published on this page.

Every booking is ultimately governed by the airline, tour operator, or visa authority's own terms, alongside our own service fees for managing the process on your behalf. We aim to explain both clearly before you book, so there are no surprises if your plans change.
